The Front Office Coordinator – Receptionist at Oivity is the face of our company, the first point of contact for our clients, visitors, and employees. This role demands a dynamic individual who can efficiently manage front office tasks, including guest reception, phone handling, and administrative support, all while maintaining a welcoming and professional environment.

🔑 Responsibilities:

  • Welcoming Guests: Professionally greet, assist, and direct visitors, vendors, and clients.
  • Managing Communications: Efficiently handle incoming calls, messages, and mails and redirect them to the concerned departments.
  • Providing Administrative Support: Aid in various administrative tasks such as scheduling meetings, managing mail and deliveries, and keeping track of office supplies.
  • Maintaining Office Environment: Keep a clean, organized, and inviting reception area to enhance the overall office ambiance.
  • Handling Information: Offer information and support to both the internal team and external visitors, solving their queries effectively.
  • Ensuring Security: Oversee access and maintain security by following procedures and controlling access via the reception desk.

 🎯 Qualifications:

  • Proven experience as a Front Office Coordinator, Receptionist, or in a similar role. School leavers are also encouraged to apply for a trainee position.
  • Excellent verbal communication and interpersonal skills.
  • Professional appearance and demeanor.
  • Ability to multitask, prioritize, and manage time effectively.
  • Proficiency in MS Office suite and familiarity with office management procedures.
